Proper packing ensures your samples arrive in optimal condition at QuanTEM Food Safety Laboratories (QFSL). Follow these simple steps to keep them at the right temperature during transit.
Step 1: Prepare Ice Packs
Upon receiving your sampling supplies, freeze the provided ice packs ahead of time.
Step 2: Pack Your Cooler Using the “Sandwich” Technique
- Bottom Layer: Place ice pack(s) at the bottom of the cooler.
- Middle Layer: Place your samples securely on the ice pack(s).
- Top Layer: Add another layer of ice packs above the samples.
- Repeat this layering method to ensure even cooling throughout the shipment.
For additional insulation, use packing materials such as bubble wrap, butcher paper, or other fillers to keep the contents stable and well-insulated. This method has proven effective; we receive samples nationwide at acceptable temperatures.
Step 3: Final Packing & Labeling
- Include Chain of Custody: Place a copy of your Chain of Custody form inside before sealing the cooler.
- Seal the Cooler: Securely tape the cooler shut.
- Attach a Shipping Label: Use the pre-paid QFSL FedEx Priority Overnight label (Monday–Saturday) or affix your preferred carrier’s shipping label. Avoid Monday–Friday labels for end-of-week shipments, as they do not automatically default to Saturday delivery in case of delays.
Step 4: Ship Your Cooler
- Schedule a pickup with FedEx or your preferred carrier or drop it off at the nearest shipping location.
- Ensure your samples are shipped promptly to maintain integrity.
